1.0 Management Commitment and Responsibilities


1.1 Vision and Mission


Defining Vision and Mission

  • The management team shall develop the Institutes vision and mission to meet key stakeholders and industries needs and expectations.
  • The management team shall ensure that the vision and mission are relevant to the Institutes business and national development.
  • The top management shall endorse the vision and mission statements.
  • The management team shall demonstrate commitment to produce outcomes which are consistent with the vision and mission.
  • The Institute shall regularly review the vision and mission, to ensure relevance, at least once a year, during management review.

Communication to Stakeholders

  • The management team shall use internal and external communication channels to communicate the vision and mission to all staff, students, key stakeholders (including recruitment agents if applicable) and through relevant marketing collaterals.
  • The staff should be able to articulate the vision and mission and what the vision and mission mean to them with respect to their job functions.
  • The management team shall ensure that the vision and mission are clearly communicated in the website, student handbook, relevant marketing collaterals and within school premise(s).
  • The Institute shall regularly review the effectiveness of the communication channels, for continual improvement, at least once a year, during management review.

1.2 Values and Culture


Defining Values and Culture

  • The management team shall develop Institutes values and culture with staff input.
  • The top management shall endorse the values and culture statements.
  • The management team shall translate the values and culture into context for staff so that they can articulate them and reinforce them in their actions.
  • The management team shall role-model the values and demonstrate commitment to build the culture in their words and actions.
  • The Institute shall plan to inculcate the values and build the desired culture to achieve its vision and mission.

Communication to Stakeholders

  • The management team shall use internal and external communication channels to communicate the vision and mission to all staff, students, key stakeholders (including recruitment agents if applicable) and through relevant marketing collaterals.
  • The staff should be able to articulate the vision and mission and what the vision and mission mean to them with respect to their job functions.
  • The management team shall ensure that the vision and mission are clearly communicated in the website, student handbook, relevant marketing collaterals and within school premise(s).

1.3 Strategic Planning


Strategic Planning Process

  • The Institute shall conduct strategic planning at least once a year.
  • The Institute shall use a structured strategic planning process that uses appropriate external and internal information, key customer-requirements, and models, to produce the strategic plan.
  • The strategic plan shall cover the following key areas:
    • Long-term goals that take into consideration the business direction;
    • Short-term goals;
    • Short-term goals;
    • Short-term goals;
    • Strategies to realise the long-term and short-term goals;
    • Key performance indicators (KPIs) to measure and evaluate the effectiveness of the strategies;
    • Clear ownerships of the strategies and KPIs;
    • SMART targets set for all KPIs;
    • Long-term and short-term integrated approach to resource (physical, financial, human, academic etc) planning to ensure that resources are optimally used;
    • Commitment to social responsibilities, community involvement and knowledge creation;
  • Any other key area deemed necessary by the Institute.
  • The management team, key staff, relevant key partners and key stakeholders shall collaboratively participate in the strategic planning process
  • The Institute shall have a comprehensive strategic plan that guides the management team in their daily operations. The plan shall be aligned with the Institutes vision and mission.
  • The Institute shall have unit/department work-plans that guide the units/departments in their daily operations. These work-plans shall be aligned with the Institutes strategic plan and approved by the management team.

KPIs and Targets

  • The Institute shall set KPIs and SMART targets for all strategies in the strategic department work-plans.
  • Target shall be:
    • Specific (can be easily verified);
    • Measurable (can be easily quantified);
    • Attainable (can be easily translated into action);
    • Realistic (can be achieved with available resources); and
    • Time-bound (has a definite time frame).
  • The Institute shall have KPIs to track students educational experiences (proxy indicators include student satisfaction rate and number of feedback/complaints received).
  • The management team shall regularly review and update (where necessary) the KPIs and targets set in the strategic plan, to ensure relevance, at least once a year, during management review.

1.4 Defining Responsibilities


Responsibility of All Staff

  • The Institute shall maintain an up-to-date clearly defined organisation chart showing the management team which is published on its official website.
  • The Institute shall maintain an up-to-date clearly defined organisation chart that includes all staff for internal reference.
  • The Institute shall clearly define individual duties and responsibilities for all staff, and uses internal communication to communicate to the staff.
  • The Institute shall regularly review and update (where necessary) the duties and responsibilities of the staff, to ensure relevance, at least once a year or when recruiting new staff, during management review

1.5 Management Representative (MR)


Appointment of MR

  • The top management shall officially appoint the MR and the appointment is announced to all staff.
  • The Institute shall maintain an up-to-date clearly defined organisation chart that includes all staff for internal reference.
  • The MR shall meet the following criteria:
    • Full time staff of the Institute;
    • Must be a member of the management team; and;
    • Must be empowered to make decisions to implement effectively the Quality requirements.
    • The MR shall implement effectively the requirements of Quality document and meet deadlines when submitting the necessary reports to MT
